Privacy Policy

This Privacy Policy describes how Caius Elliot Chevalier (“Trax,” “we,” “us”), collects, uses, and shares information when you use the Trax text message assistant and the website at heytrax.com (the “Service”). It is part of our Terms of Service.

1. Information we collect

Information you provide. Your phone number, name, school, year, major, and goals; the messages, images, files, and links you send; calendar feed links you share; and anything else you choose to tell the Service.

Information we generate. The Service's replies, reminders, and routines; notes and summaries the Service keeps about your preferences, schedule, and goals so it can remember context; and technical records such as timestamps and service logs.

Information from third parties. Calendar events from feeds you link. If you give your consent during setup, publicly available information about you on the web, such as professional profiles, personal websites, and student organization pages. You can decline or withdraw this consent at any time.

2. How we use information

We use information to:

• provide the Service, including responding to you and sending reminders, updates, and messages you asked for or that are relevant to your schedule and goals;
• remember context across conversations;
• maintain, secure, debug, and improve the Service, including through automated review of conversations by AI systems to detect errors and quality issues;
• prevent abuse and enforce our Terms; and
• comply with legal obligations.

Conversations are processed and reviewed by automated systems. Our personnel do not routinely read conversations, but may access account information and content when reasonably necessary for support, debugging, security, safety, or legal compliance.

We do not sell your personal information, share it for cross-context behavioral advertising, or use it to serve ads.

3. How we share information

We share information only as needed to operate the Service, with service providers that process it on our behalf, including:

• messaging infrastructure providers that deliver text messages;
• artificial intelligence model providers, which may be accessed through a routing service, that generate responses;
• web search providers that perform searches you request;
• our payment processor, Stripe, which receives your name and a random billing ID from us, and collects your email and payment details if you subscribe to Trax Pro;
• hosting, network, and security providers; and
• internal monitoring tools used to notify us of service issues.

When you link a calendar or request campus information, we retrieve data from the relevant third-party services on your behalf. Campus information requests are not linked to your identity. We may also disclose information if required by law or legal process, to protect the rights, safety, or property of any person, or in connection with a transfer of the Service.

4. Calendar links

Calendar feed links can grant access to your calendar. We treat them as confidential and use them only to read your events. You can revoke our access at any time by resetting or regenerating the link in your calendar provider (for example, Brightspace), or by asking Trax to unlink it.

5. Retention

We keep your information while your account is active. Service logs are kept for a limited period, generally not longer than 30 days. If you delete your account, we delete or de-identify your personal information within 30 days, except where we need to keep it to comply with law, resolve disputes, or enforce our agreements.

6. Your choices

• Delete your account and stop messages: text “delete me” and confirm. This also cancels Trax Pro.
• Forget something: ask Trax to forget it.
• Other requests: to access, correct, or delete your information, contact us at privacy@heytrax.com. We will respond as required by applicable law.

7. Security

We use reasonable administrative, technical, and physical safeguards to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a data breach affects your information, we will notify you as required by law.

8. Age requirement

The Service is intended only for people 18 and older. We do not knowingly collect information from anyone under 18. If you believe a minor has provided information, contact us and we will delete it.

9. Location of processing

The Service is intended for users in the United States. Information is stored in the United States and may be processed by service providers in other countries, subject to their contractual and legal obligations.

10. Changes

We may update this Privacy Policy. If a change is material, we will give notice by text message or on this page before it takes effect.
